Start with a complete contract inventory

Playing or competition contracts, representation agreements, sponsorship and image deals. If it has an end date or a renewal clause, it belongs in the inventory.

Capture the dates that trigger work

End date, option or extension deadlines, notice periods, and any date after which the situation changes without you acting.

Attach the documents

The signed version, current amendments and the related correspondence, stored with the athlete's record, not in a personal inbox.

Verify against the source

Dates copied from memory or old spreadsheets are how deadlines get missed. Confirm each date against the signed document once, then trust the inventory.

One honest test

Can you list, right now, every contract in your portfolio ending in the next 12 months? If the answer requires opening more than one place, the inventory is not done.

Work in windows, not in dates

A single reminder on the deadline is a trap: it turns a months-long process into a last-minute scramble. Treat each renewal as a sequence of windows, each with its own job.

The renewal enters your active landscape. No conversations yet: you make sure the file is complete and note what a good outcome would look like.

Build the renewal file: season review, the athlete's own goals, market context you can verify, and the realistic alternatives on both sides.

3 months out · Positioning

Open or deepen conversations. Both sides now know a decision is coming; you choose the framing rather than inheriting it.

Negotiation, decision and signature, or an organised exit. Whatever happens here was made easier or harder by the three previous windows.

Exact distances vary by sport, by level and by notice periods: adapt the windows to each contract and each calendar. The principle does not vary: every window has a job, and skipping one moves its pressure onto the next.

The renewal file: complete before any conversation

  • The signed current contract and every amendment, in one place.
  • Key dates: end, options, notice periods, and who must act by when.
  • A factual season review: availability, appearances or results, and their context.
  • The athlete's position: what they want next, confirmed in a real conversation, not assumed.
  • Verifiable market context: comparable situations you can actually support.
  • The realistic alternatives for each side if no agreement is reached.
  • Your recommendation and the minimum acceptable outcome, written before talks start.

Write it down before, not after

A position defined mid-negotiation is a position defined under pressure. The file exists so decisions are made calmly and adjusted consciously.

Structuring the renewal conversation

  • Open with the athlete, not the counterparty: alignment on goals comes before any external conversation.
  • Lead with the facts in the file: season review and dates first, positions second.
  • Ask before proposing: the other side's constraints shape which outcomes are actually achievable.
  • Close every conversation with a written summary of what was said and what happens next.
  • Keep the athlete informed at agreed checkpoints. Surprises destroy more renewals than disagreements do.

Plan for every outcome, not just the good one

Renewal

Confirm terms in writing, update the inventory with the new dates, and immediately note the first window of the next cycle.

Renegotiation

Longer conversations need their own checkpoints. Agree a decision date so talks cannot drift past your notice periods.

No agreement

An organised exit protects the athlete and the relationship: coordinate timing, communication and the search for the next situation.

Silence

No response is information. Decide in advance at which date silence triggers your alternative plan, and hold to it.

Making it repeatable across the portfolio

One renewal is a project. Fifteen renewals a year are a system. The difference is a small set of habits held at portfolio level.

  • Maintain one view of every contract end date in the next 24 months, sorted by date.
  • Review that view monthly: which files enter a new window this month?
